About
Reports is where you create, download, email and schedule compliance documents for a client, and where every file you generate is kept. Use it to hand a client or auditor a document such as the Compliance Health Report or an Assessment Report without building it by hand.
To open it, select Reports in the sidebar, in the framework section with Documents, Objectives, Plan of Action, Evidence and Audits. The framework switcher narrows the list of reports and preselects that framework in the report options.
The page has three tabs:
- New Report: choose a report and what to do with it.
- Generated Reports: every file that has been created, with its status.
- Scheduled Reports: saved report setups that run on a schedule.
Every report can be delivered in three ways. Download makes the file now, email sends it once, and schedule repeats it. All three use the same report options.
Choose a report
On New Report, reports are grouped under headings such as Summary and Frameworks, each with a count. The Summary group holds the Compliance Health Report. The Frameworks group holds reports such as Plan of Action & Milestone (POA&M), Assessment Report, Objectives Report, Applicability Report, Supplier Score Report (SPRS) and Shared Responsibility Report.
Each row shows the report name, a short description and three icon buttons under Actions: Download, Email and Schedule. The reports you see depend on your framework.
Download a report
- Select Reports › New Report.
- Select the Download icon on the report you want.
- Some reports start downloading straight away. Others open a "Download report" panel with the message "Configure this report before downloading it."
- Optionally change the name under Report name (up to 50 characters). Framework reports start with the report and framework name.
- Set the report options, then select Generate report.
- Small reports download straight to your browser. Larger reports are queued, and you are told the report will appear in Generated Reports.
For a queued report, open the Generated Reports tab, wait for the status to read Completed, then download it.
Report options
The options depend on the report. Common ones include:
- A framework picker, for reports that cover one or more frameworks.
- The file format, for reports that come in more than one, such as Doc or PDF for the Compliance Health Report.
- Cover and intro content, for the Compliance Health Report and Assessment Report.
- A time period, for reports such as the Compliance Health Report.
- Logo choices (see "Add your logos to a report" below).
- A choice of what to include, for reports built from documents or employees. You must make a choice before these can be sent.
Add your logos to a report
Reports can carry your logo, your client's logo, or both. Set them up first:
- In the MSP portal, select Settings › Apply co-branding › Show MSP/Admin logo. This needs an uploaded logo, and white labeling must be enabled there.
- Set the client's logo under System Information in the client's settings.
- When you configure a report, tick MSP Logo or Client Logo. On reports that use a choice instead, pick Customer Logo or MSP Logo.
The Compliance Health Report has extra branding options:
- Include “Powered by ControlMap”: adds “Powered by ControlMap” to the report.
- Intro: the text on the front cover. Select Save intro to keep your wording.
- Content on the back cover. Select Save content to keep your wording.
Email a report
- On New Report, select the Email icon on the report. The "Share Report" panel opens.
- If the report has options, set them on the Configuration step.
- On Recipients & Send, add at least one recipient. You can choose team members or enter any valid email address, including people outside ControlMap.
- Optionally write an Email Message.
- Select Send report, then confirm "Send report by email?".
Schedule a report
A scheduled report is generated and sent on a repeating basis.
- On New Report, select the Schedule icon on the report. The "Report configuration & schedule" panel opens.
- Set the report options.
- On Recipients & Schedule, add recipients and an optional message.
- Under "Schedule Report Generation", select Set up report generation schedule.
- In "Configure Report Schedule", choose the start date and how often the report repeats.
Your changes save automatically, with the message "Report Updated Successfully.", and the report appears on the Scheduled Reports tab.
Review scheduled reports
The Scheduled Reports tab lists your saved report setups, not the files they produce. Use Search scheduled reports to find one. The columns are:
- Report name, with the report type underneath.
- Program.
- Recipients.
- Schedule, showing the start date and how often it repeats.
Open the "…" menu on a row to:
- Download Report: make a file now.
- Edit: reopen the setup.
- Send Report: email it now. If no recipients are set you are asked to add some first.
- View Generated Reports: see the files this setup has produced.
- Delete: remove it, after confirming "Delete configured report?".
If nothing is set up yet, the tab shows "No configured reports" and "Save or schedule a report from New Report."
Find and manage generated reports
The Generated Reports tab keeps every file, newest first. Use Search generated reports to find one, and select Refresh to reload the list.
The columns are:
- Report name.
- Framework.
- Related to.
- Created by.
- Created on.
- Status: Completed, Progress or Failed.
To download a file, select its name, or open the "…" menu and select Download. Downloading is not available while a report is in progress, or if it failed.
To delete a file:
- Open the "…" menu on its row and select Delete.
- Confirm "Delete generated report?" by selecting Delete report.
A message confirms "Successfully deleted the selected report." The list shows 25, 50 or 100 rows at a time, with Previous and Next to move between pages. If there are no files yet, you see "No generated reports" and "Generate a new report or adjust the framework selector."
