About

The MSP portal Dashboard is the first page you see when you sign in as an MSP partner. It lists every client company, including prospects and active clients, and shows each one's compliance health and risk. From here you launch a client's portal, activate a prospect, clone a client, merge duplicate records and manage who can access each client.

Clients can't sign in to the MSP portal. It is for your own team.

Who can do what

  • Super Admins see everything on the Dashboard, including Add Company, each client's ... menu and the licence counters.
  • Compliance Managers see only the Dashboard tab in the top bar, and only the clients they have been added to as a service provider. They don't get Add Company, the ... menu or the licence counters.
  • Launching a client's portal only works for people who have been invited to that client.

Open the Dashboard

  1. Sign in to the MSP portal at your own address. It follows the pattern <partner>.msp.<region>.ctrlmap.com.
  2. The portal opens on Dashboard. To return to it from any other page, select the ControlMap logo in the top-left corner.

The tabs in the top bar, from left to right, are:

  • Dashboard
  • Tech Stacks
  • Frameworks (shown with a NEW tag when custom frameworks are turned on)
  • Assessment
  • Documents
  • Integrations
  • Settings

Read the Dashboard

Each client appears as a card. The screenshot below shows the Dashboard in card view, with the top bar, the toolbar and the first row of client cards.

The MSP portal Dashboard in card view, with the top bar, toolbar and a row of client cards

Top bar

On the right of the top bar, Super Admins see:

  • A licence counter for each plan, in the form used / total: for example Free: 2/Unlimited, Essential: 0/0 and Pro: 9/10.
  • An Add Licenses button, which opens ScalePad billing in a new browser tab.
  • Your initials, which open a menu with My Profile, Appearance (Match system settings, Dark or Light) and Logout.

Toolbar

Below the top bar, the toolbar has:

  • A Card / List switch. ControlMap remembers the view you pick and your sort order.
  • The number of companies shown, for example "Showing 50 Companies".
  • A search box, Search Customers.
  • A filter icon, with a badge showing how many filters are on.
  • Add Company (Super Admins).
  • A refresh icon. Hover over it to see "Last updated on" and the date. Select it to pull in the latest client data from your connected integrations; ControlMap says "We are pulling in latest customer data. Just give it a minute."

Filter and sort

Select the filter icon to open the Filter & Sort Customers panel on the right, then select Apply. The panel has these sections:

  • User
  • Status (Active, In progress, Pre assessment, Prospect)
  • License
  • Progress Stage
  • Compliance Health
  • Programs
  • Source
  • Sort (A to Z, Z to A, Favourite)

Client cards

An active client's card shows:

  • A header with "Last Updated" and the date, and a refresh icon (Refresh tenant stats). A copy icon with the tooltip "Cloned from" and the client name appears if the client was cloned.
  • A plan tag (Free, Essential or Pro).
  • The star (favourite), the client's logo, its name with its tenant ID in brackets, and its status. A link such as "3 merged tenants" shows when other records were merged into the client.
  • A Progress Stage picker.
  • Three tabs: Progress, Frameworks and Details.
  • A footer with the ... menu, Overview and Launch Portal.

The three tabs show:

  • Progress has two sub-tabs. Compliance Health shows the client's health label (Healthy, Average, Poor or Critical), its risk level and a history chart. Assessment progress shows an "Answered" percentage ring, a bar and a count for each answer status.
  • Frameworks lists the client's frameworks, or "No framework found." if it has none.
  • Details shows Vulnerabilities, Assets, Source, People (or BenchMarks for companies that come from Cavelo) and the MSP users on the client.

Prospects have only the Progress and Details tabs. Their Progress tab shows the pre-assessment: Risk Level, "Pre-assessment progress" ("Not Started" or "Questions answered" with a count) and the buttons Start, Continue, Answers and Report. A pre-assessment is a short cybersecurity questionnaire that gives the prospect a risk result. The footer has the ... menu and Activate Tenant.

List view

Select List to see one row per client. The list scrolls down continuously, and prospect and in-progress rows are shaded.

The Dashboard in list view, with one row per client

The columns are:

  • Company
  • Progress Stage
  • Source
  • Last Update
  • Licenses
  • Compliance Health
  • Risk Level
  • Frameworks
  • Assessment Progress
  • Pre-assessment
  • Overview / Launch Portal for active clients, or Start / Continue / Answers / Activate Tenant for prospects
  • Action (the ... menu)

Tick the box on several active clients to show Set Progress Stage, which sets a stage for all of them at once.

Client statuses

A client has one of these statuses:

  • Prospect: a company that isn't an active client yet.
  • Pre-assessment: a prospect that has pre-assessment answers.
  • In Progress: a client that is being set up.
  • Active: a client with its own client portal.
  • Provisioning Failed
  • Cloning
  • Cloning Failed

Prospects come from your connected integrations (PSA, RMM, scanners and ScalePad) or are added by hand. They don't use a licence. An active client, also called a tenant, has its own client portal and uses one licence of the plan you chose for it. If you have no clients yet, the Dashboard says "Welcome to ControlMap" and "Start by creating your first client", with a Create your first client button.

Open a client's Overview page

Select Overview on a client's card or row. The Overview page has a breadcrumb, the ... menu, Launch Portal and a header with the plan tag, Edit and Upgrade. Below the header are tiles titled Compliance Health, Risk Level, Framework, Asset Scan, Users (with Add User) and Vulnerabilities.

Launch a client's portal

  1. On the Dashboard, find the client. Use the search box or the filters if you need to.
  2. Select Launch Portal on the card or the row.
  3. The client's portal opens in a new browser tab, signed in as you.

If you haven't been added to that client, ControlMap says "You do not have access to the selected tenant." Ask a Super Admin to invite you (see "Invite users to a client" below). Launch Portal is only on active clients; prospects have Activate Tenant instead.

Add a company

  1. On the Dashboard, select Add Company. Only Super Admins see this button.
  2. In the Create Client panel, choose an existing ScalePad client from the list, or choose Create New Client.
  3. Follow the steps in "Activate a prospect" below.

In the US-government region, Add Company opens "Add a new company" instead, with three choices:

  • Create Prospect: adds a prospect and doesn't use a licence.
  • Activate Tenant / Clone Tenant: uses one tenant seat.
  • Connect To Import: imports companies from a connected PSA, RMM or scanner as prospects.

Activate a prospect

  1. On the Dashboard, find the prospect (status Prospect or Pre-assessment) and select Activate Tenant.
  2. In the Create Client panel, work through the steps. The panel has up to five:
    • ScalePad Clients: pick the company. This step only appears if there are prospects to choose from.
    • License: choose Free, Essential or Pro. Pro is marked "Recommended".
    • Framework
    • Client Details
    • Review
  3. On the last step, select Create Client.

ControlMap says "A new tenant is being provisioned. Once completed, it will automatically show up in the customer list." The client's card shows "We are setting up your new tenant..." with a checklist, then turns Active. The licence you chose is counted in the top bar. If setup fails, the card shows Provisioning Failed with Retry and Delete.

Use a client's ... menu

Select ... on a client's card or row. Only Super Admins see this menu. The next screenshot shows the menu on an active client's card.

The ... menu open on a client card, listing Clone tenant, Refresh tenant stats, Invite users, Customize branding and Delete tenant

For an active client, the menu has:

  • Clone tenant
  • Refresh tenant stats
  • Invite users
  • Customize branding
  • Delete tenant
  • View pre-assessment and Pre-assessment report, once the client has a completed pre-assessment

For a prospect, the menu has Merge tenant and Delete. Clone tenant, Invite users and Customize branding aren't shown for prospects.

Deleting a client removes everything in it and can't be undone. ControlMap asks you to type DELETE to confirm.

Clone a client

Cloning creates a new client that starts with the content you choose from an existing client.

  1. On the client's card or row, select ... › Clone tenant.
  2. A full-width panel opens with seven steps. The first step is shown below.

The first step of the clone panel, with the seven steps across the top and a tick box for each framework

Each step is a list of tick boxes with Select all, and Back and Next buttons. The steps are:

  • Framework
  • Controls
  • Vendors
  • Risks (risk sets and manual risks)
  • Documents (policies, procedures and governance)
  • Tenant Details
  • Confirm clone
  1. In Tenant Details, enter the Company Name and the Tenant ID. The Tenant ID is 4 to 11 letters or numbers, and it becomes the client's address, which ends .app.ctrlmap.com. Available IDs suggests IDs that are free. A logo is optional.
  2. In Confirm clone, tick the box confirming that you have protected and sanitized client data, then select Clone active tenant.

ControlMap says "A new cloning tenant is being provisioned. Once completed, it will automatically show up in the customer list." The new client's card shows "We are cloning up your tenant data..." until it is done. If cloning fails, the card shows Cloning Failed with Retry (confirm with Yes) and Delete.

Merge a prospect into an active client

Merging combines records that are the same company in different tools, so assets, vulnerabilities and people from each source show under one client. ControlMap offers it only on a prospect or pre-assessment record.

  1. On the Dashboard, find the duplicate record. It is usually a prospect that was imported from an integration.
  2. Select ... › Merge tenant.
  3. In the Merge Tenant panel, which says "You are about to merge a tenant with an existing active tenant.", search for the client in Search tenant to merge and select it.
  4. Select Merge. ControlMap says "A new tenant is being merged. Please refresh the list shortly to see the updated list."

The Merge Tenant dialog has the Search tenant to merge field and the Cancel and Merge buttons.

The Merge Tenant dialog over the Dashboard, with the Search tenant to merge field and Cancel and Merge buttons

The prospect leaves the list. Its integration data (assets, vulnerabilities and people) is added to the client, and the client shows a link such as "1 merged tenant".

Undo a merge

  1. On the client's card, select the merged tenants link, for example "1 merged tenant".
  2. The panel lists each merged record with its Tenants, Source, Assets, Vulnerabilities and People (or BenchMarks) columns. Select Unmerge on the record you want to separate.
  3. Confirm in Unmerge company?, which says "Unmerging the selected company will return to its pre-merged state."

The record comes back as a Prospect, or as Pre-assessment if it has answers. The integration data it brought is removed from the client.

Invite users to a client

  1. On the client's card or row, select ... › Invite users.
  2. Search for the person by name or email.
  3. Select Invite to and the client's name.

The person then has access to that client's portal. They need this access before they can use Launch Portal for the client.

Customize branding for a client

  1. On the client's card or row, select ... › Customize branding. A panel opens with a preview of the client's menu.
  2. Turn Show MSP/Admin logo and Show client logo on or off. Each is disabled until that logo has been uploaded.
  3. Select Save.

Set a progress stage

  1. On the client's card or row, open Progress Stage and pick a stage.

Only active clients have a progress stage. You set up the stages themselves in Settings › Progress Stage, where ControlMap says "Customize progress stages to match your client journey."
