Document automatically moved to In Review after review date passed

ControlMap automatically changes the status of policies, procedures, and governance documents from Approved to In Review when the Review Date is in the past. This is expected behavior, designed to ensure that compliance documents are re-evaluated on schedule.

To return your documents to Approved status, follow the steps below.

Who can use this feature?

  • The original approver of the document(s)

  1. Confirm that the Review Date for each affected document has been updated to a future date.

  2. Log in to ControlMap as the original approver (the person who last approved the document).

  3. Select the checkbox next to each document that needs to be approved.

  4. Click the Status button.

  5. Change the status from In Review to Approved.

  6. After you click Approve, a pop-up appears prompting you to select a new review date. Choose an appropriate future date.

  7. Verify that the documents now display Approved status with the correct review dates.

Once complete, the documents remain in Approved status until the next review date. When that date passes, ControlMap transitions them to In Review again.
