About

To do is your personal work list. It gathers action items, documents and evidence requests into three tabs, so you can see what needs doing, narrow the list to a person or a framework, and move items along by changing their status.

Who sees it:

  • Super Admins and Compliance Managers see To do in the sidebar. Auditors only see Audits in their menu. Contributors get a separate page that lists the work assigned to them.
On the Free plan, bulk Export and Delete are locked on Action Items. For details, see the Free, Essentials and Pro plans article.

Open To do

  1. In the sidebar, select To do. It sits next to Dashboard and Monitor and is not tied to any one framework.
  2. Choose a tab: Action Items, Documents or Evidence.

The page address includes the tab, the filters and the view you chose. If you copy the address and share it, it opens the same list.

What is on each tab

Each tab lists a different kind of work:

  • Action Items: every action item in your account. They are created elsewhere in ControlMap, for example from an assessment answer or by ControlMap Copilot, and appear here automatically. Each one has a person responsible, shown as Assigned to, and a due date.
  • Documents: your policies, procedures and governance documents, with their owner and review date.
  • Evidence: evidence requests, such as EV-5-3, rather than the evidence records themselves. Completed requests are hidden from this tab.

The items are not limited by the framework picked in the sidebar. To narrow them to one framework, use the Framework filter.

The top of every tab has the same tools:

  • A line that counts the items, such as "Showing 93 action items".
  • A search box. It reads Search action items by title or code, Search documents or Search evidence, depending on the tab. It matches the title or code of an item.
  • The Filter menu.
  • The Display menu at the right.
  • Under them, a chip for each filter that is on, each with an × to remove it, and a red Clear All button.

The tabs do not show item counts.

Switch between board and list

You can see your items as a board or as a list. To switch, select Display and choose a tile under View:

  • Kanban: a board with one lane per status. This is the default.
  • List: a table with one row per item.

In List view, the Display menu also has a Columns section with a switch for each column, so you can hide or show columns. Select Reset to default to return to the default columns and the Kanban view. Your view and column choices are remembered in your browser for next time.

The Display menu open in List view, with the View tiles List and Kanban, the Columns switches and Reset to default

Kanban view

On the board, each lane shows its name and the number of items in it. Cards load 10 at a time in each lane, and more load as you scroll. An empty lane reads "Drop items here". The lanes depend on the tab:

  • Action Items and Evidence: Not Started, In Progress, Review, Completed and Not Applicable.
  • Documents: Draft, In Progress, In Review, Approved and Ready For Approval.

Each card shows the following:

  • The item title, which opens the item.
  • A drag handle and a status drop-down.
  • For action items and evidence, the Objectives the item is mapped to. Action items also show Lifecycle Manager initiative links when your account is connected to ScalePad Lifecycle Manager. For documents, the Document type.
  • At the bottom, the person's avatar and the date: "Due" for action items and evidence, and "Updated" for documents.

Completed and Not Applicable cards for action items and evidence appear faded. Here is the Action Items board with a Status filter on:

List view

The list loads 50 rows at a time, and more load as you scroll. The columns, in their default order, depend on the tab:

  • Action Items: Title, Objectives, Status, Lifecycle Manager, Assigned to and Due Date. A tick box column appears at the left. The Lifecycle Manager column only shows when your account is connected to ScalePad Lifecycle Manager.
  • Documents: Name, Document Type, Status, Owner and Review Date.
  • Evidence: Name, Status, Assigned to and Due Date.

A few things to know about the list:

  • Titles start with the item code, for example "AI-1" for an action item or "EV-5-3" for an evidence request.
  • Dates show as MM-DD-YYYY. Under a due date, a line reads "Due in N days", "Due today" or "N days overdue". It does not show once the item is Completed or Not Applicable.
  • An empty cell shows "—".
  • You can sort by clicking the Status or Due Date column header. Title, Objectives, Assigned to and Document Type cannot be sorted.

This is the Evidence tab in List view:

Filter the list

  1. Select Filter.
  2. Choose a filter from the menu, then choose one or more options.
  3. Each filter you apply appears as a chip under the toolbar. Select the × on a chip to remove it, or select Clear All to remove them all.

The filters depend on the tab:

  • Action Items: Assignee, Framework and Status.
  • Documents: Assignee, Framework, Document type (Policy, Procedure or Governance) and Review date.
  • Evidence: Assignee, Framework and Due date.

The Filter menu open on the Action Items tab, listing Assignee, Framework and Status

Some details about the filters:

  • Assignee and Framework open a searchable list. The Assignee list shows the people who can hold work, in alphabetical order. When two people share a name, their email address is shown.
  • Review date and Due date have one option, Overdue & Upcoming. It shows everything that is overdue plus everything due in the next 30 days. There is no earlier cut-off, so old overdue items stay in the list. While it is on, a line reads "Showing documents overdue or due in next 30 days" or "Showing evidence overdue or due in next 30 days".
  • Search waits a moment after you stop typing.

What is filtered when you first open a tab

Before you change anything, each tab starts with these filters:

  • Action Items: Assignee is you, and Status is Not Started, In Progress and Review. Completed and Not Applicable items are left out.
  • Documents: Review date is Overdue & Upcoming.
  • Evidence: Due date is Overdue & Upcoming. There is no Assignee chip, so the tab is not narrowed to a person.

The Assignee starting filter applies to the Action Items tab only. Your filter choices are remembered in your browser, but the text in the search box is not part of that. If you clear a starting filter, it stays cleared the next time you visit.

See only your own work

  1. Select To do › Action Items. The Assignee chip already shows your name.
  2. On Evidence, select Filter › Assignee and choose your name. This tab starts without an Assignee chip.

See someone else's work

  1. Select Filter › Assignee.
  2. Choose one or more people.
  3. To see everyone's action items, select the × on the Assignee chip, or select Clear All.

Change an item's status

  1. On the board, drag a card to another lane by its drag handle, or use the status drop-down on the card.
  2. In List view, use the status drop-down in the Status column.
  3. A message confirms the change: "Action item status updated.", "Evidence status updated." or "Document status updated."

The change applies to the real item, not just to the board. Dragging a card and using its drop-down do the same thing. The list reloads, and the item moves to its new lane or shows its new status in the list.

Open an item

Select an item's title, on a card or in a row. What opens depends on the tab:

  • Action item: a panel opens from the right with the tabs Action Item, Mappings, Documents, Comments and Activity. Use the Prev and Next arrows at the top to step through the items in your list. The page address includes the item, so you can share it. If you open the item in a new browser tab, it shows as a full page instead.
  • Evidence: the evidence panel opens, with tabs such as Requests, Mappings, Documents, Comments, Activity and Watchers. Use Prev and Next to move through the evidence in your list.
  • Document: the full document page opens, under Policies, Procedures or Governance. Select Back to return to To do.

An action item panel open over the To do page, with the tabs Action Item, Mappings, Documents, Comments and Activity and Prev and Next arrows

To do has no button for creating items. Action items are created from other pages, such as an assessment question or ControlMap Copilot.

Work on several action items at once

You can change several action items together in List view. Documents and Evidence have no tick boxes, so this works on the Action Items tab only.

  1. On Action Items, select Display › List.
  2. Tick the rows you want, or tick the box in the header to select all matching items.
  3. A bar shows how many items you selected, with four actions.

The four actions are:

  • Assign: pick a person in "Assign selected action items".
  • Attach: link objectives, assessment questions, risks, controls, asset types, assets or vendors.
  • Set status: change the status of all the selected items.
  • Delete: asks "Delete selected action items?" and warns that it permanently deletes them.
