About

My Compliance is the page where one person sees the policies and other documents they must read, and the compliance tasks they must complete, and confirms each one. Confirming that you have read something is called acknowledging it. ControlMap keeps a record of who acknowledged each item and when.

My Compliance is personal. It shows only your own items. Managers track everyone else's progress in People.

My Compliance is a Pro feature. On the Free and Essentials plans it stays in the menu and opens a page that says "My Compliance is a Pro feature." with an "Upgrade to Pro" button. For details, see the Free, Essentials and Pro plans article.

Who can use My Compliance

These people see My Compliance:

  • Compliance Portal Users: My Compliance is their only page. Their sidebar is titled "Compliance portal" and has one item, Home. They also have My Profile in the account menu.
  • Contributors: My Compliance appears in the "Contributor workspace" sidebar, next to My Work.
  • Admins: My Compliance is in the account menu (see "Open My Compliance as an admin").

Auditors can't open My Compliance.

You only see items if your People record has "compliance required" turned on. If it doesn't, both tabs show their empty states.

Open My Compliance

How you get to the page depends on your role:

  • Compliance Portal Users: signing in takes you straight to My Compliance.
  • Contributors: select My Compliance in the sidebar.

Open My Compliance as an admin

Admins open My Compliance from the account menu. The menu item shows only for MSP partner users who are Super Admin or Compliance Manager.

  1. Select the company logo and name at the top left to open the account menu.
  2. Under your name, select My Compliance.

The account menu open at the top left, with My Profile and My Compliance listed under the user's name

As an admin you see your own record here. It stays empty unless you have a People record with "compliance required" turned on.

What you see on the page

The page is titled My Compliance, with the line "Acknowledgements and assigned compliance work for you." and a Refresh button. It has two tabs, Tasks and Mandatory Documents. The Tasks tab opens first.

The My Compliance page with the Tasks tab open, listing tasks with the columns Name, Acknowledged By, Acknowledged Date and Action

The Tasks tab lists each task you must complete, with its Name, who acknowledged it and when, and a checkbox in the Action column.

Tasks tab

The table has these columns:

  • Name: the task.
  • Acknowledged By: who acknowledged it.
  • Acknowledged Date: when they acknowledged it.
  • Action: a checkbox you tick to acknowledge the task.

Rows you haven't acknowledged yet show an empty checkbox and a dash in the two acknowledged columns. Acknowledged rows show a ticked checkbox that you can't change, with the name of the person who acknowledged and the date.

Select a task row to expand it. The row opens a "Documents" card showing the task's description, an Upload button and any files already attached. If no files are attached, the card reads "-- No documents --".

Mandatory Documents tab

The table has these columns:

  • ID: the document's ID.
  • Name: the document, shown as a link with a small icon that shows where the document comes from.
  • Acknowledged By: who acknowledged it.
  • Acknowledged Date: when they acknowledged it.
  • Action: a checkbox you tick to acknowledge the document.

Only policies, procedures and governance documents can be mandatory documents. The Mandatory Documents tab lists each one with its ID, Name, who acknowledged it and when, and a checkbox in the Action column.

The Mandatory Documents tab open, listing documents with the columns ID, Name, Acknowledged By, Acknowledged Date and Action

If a list can't load, you see a red message with a Try again button.

Acknowledge a task

  1. Go to My Compliance › Tasks.
  2. In the Action column, tick the checkbox for the task. A window opens, titled with the task's name, that reads "I have read and been informed about the content, requirements, and expectations of the (task name) Compliance Task."
  3. Select Acknowledge. A message says "Task acknowledged." and the row shows your name and today's date.

Select Cancel to close the window without acknowledging. You can't undo an acknowledgement from My Compliance. An admin can reset it from People (see "What each person must acknowledge").

Read and acknowledge a document

  1. Go to My Compliance › Mandatory Documents.
  2. Select the document's name, or tick its checkbox. The document opens in a side panel so you can read it.
  3. At the bottom of the panel, read the statement: "I have read and been informed about the requirements, and expectations of (document name) policy." For procedures and governance documents, the statement says "document" in place of "policy".
  4. Select Acknowledge. A message says "Document acknowledged." and the panel closes. The row now shows a tick, your name and the date.

Select Cancel to close the panel without acknowledging. Once a document is acknowledged, the panel no longer shows the statement or the buttons.

Add files to a task

  1. Go to My Compliance › Tasks and select a task row to expand it.
  2. In the "Documents" card, select Upload, then add files from your computer or a cloud drive.

The files appear in the task's "Documents" card, where they can also be downloaded or deleted.

Give someone access to My Compliance

Admins give an employee access by inviting them from People. The employee then signs in as a Compliance Portal User.

  1. Go to Manage › People.
  2. Tick one or more people, then select Invite.
  3. In the "Confirm employee invitations?" window, confirm. The window explains that each selected person will receive an email invitation to My Compliance Portal, and gain access to assigned compliance tasks after accepting.

Each person receives an email invitation. After they accept, they sign in as a Compliance Portal User. The invitations are sent in the background, so it can take a short while before the person appears as a user.

You can also create a login with the role "Compliance Portal User" from Account Settings › Users › Add user.

What each person must acknowledge

What appears on a person's My Compliance page depends on their People record:

  • A person in a People group sees the onboarding checklist for that group, with its tasks and mandatory documents.
  • A person with no group sees the default checklist.
  • A person whose status is Terminated sees the full checklist, including offboarding items.
  • A person whose People record doesn't have "compliance required" turned on sees nothing.

Admins set up checklists in People › Onboarding & Offboarding. Open a checklist, then use Add task under "Tasks", or Map document under "Mandatory Documents" to link policies, procedures or governance documents. Map document is available on onboarding checklists only. Reset acknowledgement clears the selected items so people have to acknowledge them again.

Check a person's progress

  1. Go to Manage › People. The "Documents" and "Tasks" columns show each person's percent done.
  2. Select a percentage to open "Compliance details" for that person, with the same two tabs, Mandatory Documents and Tasks.
