About
The Zoho People integration keeps your client's employee list in ControlMap up to date. ControlMap reads employee records from Zoho People on a schedule and uses them to create and update the people and user accounts in ControlMap, so you don't have to maintain them by hand. This matters for compliance because an auditor expects an accurate list of who works for the client, and when each person joined and left.
For each employee, ControlMap collects:
- Employee ID
- First name and last name
- Designation (job title)
- Date of joining
- Date of exit
- Employee status
The integration runs one compliance check: Create an inventory of employees from ZOHO into ControlMap. In the ControlMap catalog the card is called Zoho.
Before you start
Have these ready:
- Setting up integrations from the client portal is part of the Pro plan. For details, see the Free, Essentials and Pro plans article.
- Your client's Zoho People account, and a Zoho user who can sign in to it. You sign in to Zoho during setup and approve ControlMap's access.
- The data center where your client's Zoho People data is hosted. You choose it on the Connection step: Indian DC, European DC, American DC, Australian DC or Japanese DC.
If your client's people data is spread across several data centers, set up a separate connection for each one.
Connect Zoho
- Go to Monitor › Integrations and select Add Integration.
- Search for Zoho. Its card shows the category Human Resources and the description "Sync employee data from ZOHO into ControlMap at regular intervals".
- Select the Zoho card. The setup page opens on the Connection step.
- In Zoho People data center, choose the data center where your client's data is hosted. The field starts as "---Not Selected---". The Connect to Zoho button stays off until you choose one.
- Select Connect to Zoho. ControlMap takes you to Zoho's own sign-in and approval page for that data center. Sign in with your Zoho user and approve ControlMap's access. ControlMap asks Zoho for read access to the profile and to Zoho People employee records.
- When Zoho finishes, you return to the setup page. Select Next: Checks. It stays off until Zoho returns you to ControlMap. If you come back to this step later, the button reads Reconnect to Zoho.
- Complete the remaining steps as described in the Connect an integration article.
The Connection step also shows a help panel on the right, with a Read this article on Support Portal link.
What you'll see after connecting
ControlMap creates or updates a person and a user account for each employee in Zoho People. The data appears after the first scan:
- In People, where the Provider column shows where each person came from.
- In Monitor › User Accounts, where the accounts show Zoho as their provider.
- In Monitor › Compliance Checks, where the check Create an inventory of employees from ZOHO into ControlMap shows No Data until the first scan finishes.
A person's status follows Zoho: an employee Zoho marks as Terminated or Active comes across as Terminated or Active. Any other Zoho status is stored as Active.
Disconnect or change settings
To change the schedule, who is watching, or the saved connection details, go to Monitor › Integrations and open the connection's card. The Connect an integration article describes each tab and how to run a scan straight away.
To delete the connection, select the bin icon on its card and choose Yes when "Delete Integration?" asks you to confirm. Deleting an integration also deletes all of its assets and their compliance status.
