About

An HR system integration brings your employee records into ControlMap. It creates and updates the people on the People page, so your list of employees, their start and end dates and their status stay current without manual entry. That list is what compliance tasks, groups and checklists are based on.

ControlMap has three HR integrations. This article explains what they have in common and how to choose between them. Each one is connected the same way as any other integration, as described in the Connect an integration article.

Setting up integrations from the client portal is part of the Pro plan. For details, see the Free, Essentials and Pro plans article.

HR integrations in ControlMap

Go to Monitor › Integrations and select Add Integration. Type Human in the search box to list every card in the Human Resources category:

  • Bamboo HR: "Sync employee data into ControlMap at regular intervals".
  • HR System: "Connect to one of 15+ supported HR systems."
  • Zoho: "Sync employee data from ZOHO into ControlMap at regular intervals".

The Add Integration window with the search box set to Human, showing the Bamboo HR, HR System and Zoho cards

Choose the card that matches the system your client uses to manage employees:

  • Bamboo HR connects to BambooHR with an API key and your BambooHR subdomain. See the BambooHR integration article.
  • Zoho connects to Zoho People. You pick your Zoho People data center and sign in to Zoho. See the Zoho People integration article.
  • HR System connects to other HR systems. Select Connect (* Uses Finch connect) and a connection window opens where you choose your HR system and sign in. The systems you can choose from are listed in that window.

What each integration collects

Every HR integration creates or updates a person on the People page and a user account for that person. The fields it brings across differ by integration:

  • Bamboo HR: first name, last name, work email, hire date, termination date and status. Job title is added when BambooHR supplies it. A person with no work email in BambooHR is skipped.
  • Zoho: employee ID, first and last name, email, designation (job title), date of joining, date of exit and employee status.
  • HR System: first, middle and last name, email, active or inactive status, start date, end date, and the person's manager when the manager is in the same data. Department is filled in only when it matches the name of a department that already exists in ControlMap.

How each integration sets a person's status:

  • Bamboo HR: a person with a termination date becomes Terminated. A BambooHR status of Inactive becomes Disabled, and Active becomes Active.
  • Zoho: a status of Terminated or Active comes across as it is. Any other Zoho status is stored as Active.

What HR sync does to People

Once an HR integration is connected, ControlMap syncs it on the schedule you set and keeps the People page up to date:

  • New employees in your HR system appear as people, and existing people are updated.
  • The Provider column on the People page shows where each person came from. When a person came from several sources, the column shows a number, such as 3 providers.
  • Each person also has a user account, which you can review in Monitor › User Accounts.

For more about the People page, including groups, statuses and checklists, see the People article.

Invite employees to the compliance portal

The Connection step of the Bamboo HR and HR System integrations has a checkbox, Invite employees to Compliance Portal. When it is ticked, any new email address that ControlMap discovers is invited to the compliance portal. The Zoho integration does not have this option.

You can also invite people later from the People page.

Change or remove an HR integration

To change the connection or its schedule, or to delete it, follow the steps in the Connect an integration article.
